Step 3 of 9

Download the DEFRA spreadsheet

You must use DEFRA's own spreadsheet. You cannot use one of our own.

Quickest way

Click this button. The DEFRA spreadsheet downloads straight away.

Download spreadsheet

This file comes directly from GOV.UK. Then skip to Where the file goes below.

Other way: through GOV.UK

If the button does not work, get the file from inside the DEFRA service.

  1. Open the GOV.UK page Report receipt of waste in a new tab. To open a new tab, hold Ctrl and click the link.
  2. Sign in for the organisation you chose in step 2. Step 8 of this guide shows every sign-in screen if you need it.
  3. On the Report receipt of waste screen, choose Download spreadsheet template, then Continue.
The 'Report receipt of waste' screen. Choose 'Download spreadsheet template', then Continue. (tap the picture to make it bigger)

Where the file goes

Your computer saves it automatically. It usually goes into a folder called Downloads.

To find it:

  1. Click the yellow folder icon on the bar at the bottom of the screen. This is File Explorer.
  2. On the left, click Downloads.
  3. The newest file is at the top. Double-click it to open it in Excel.

If Excel shows a yellow bar saying Protected View or Enable Editing, click Enable Editing. You cannot type into the sheet until you do.

Do not change the spreadsheet

Do not change any formatting. Do not copy it into a blank spreadsheet. Do not add comments.

If you change the format, DEFRA may not be able to process your file.

What should happen

The DEFRA spreadsheet is open in Excel. Along the bottom you can see tabs, including 7_Waste movement level and 8_Waste item level.
