Check what DEFRA tells you

Only DEFRA can tell you whether your report was accepted.

Reaching this screen proves nothing

This guide does not send anything and does not know what happened. Read DEFRA's own message on the GOV.UK tab, and any email DEFRA or your software sends you.

If DEFRA accepted it

  1. DEFRA gives you a waste tracking reference for the movement. Write it down or save it.
  2. Keep it with the delivery paperwork and weighbridge ticket for that load.
  3. Keep your completed spreadsheet too. You will need it if you ever have to correct the record.
  4. Start a fresh template next time. Do not reuse a spreadsheet you have already submitted.

If DEFRA reported an error

  1. Read the error message. It usually names the field or the row.
  2. Open your saved spreadsheet, correct that field, save it again.
  3. Upload it again, following step 8.

You must put right an error with your submission within the same 2 working days you had to report the load.

An error you discover later, in data you already submitted or in information given to you, must be corrected as soon as you can and always within 1 month of finding it. You can only update a record if DEFRA has given you a waste tracking reference for it — use Upload a spreadsheet that has Waste tracking IDs.

Keep your paperwork going

Reporting to DEFRA does not replace your waste transfer notes, consignment notes or any returns you already complete. Keep completing them until official guidance says otherwise.
